What changes the plan
Confirm the hotel’s permitted handover point with both the property and the vehicle operator. A busy arrival lane may be unsuitable for a full inspection and paperwork. Agree a realistic meeting window and a contact who can communicate changes. Keep the booking reference handy without sending payment or identity documents through an unsecured public itinerary.
Prepare the approved driver and the documents the operator has requested. Allow the normal condition check and control demonstration to finish before loading the day’s schedule onto the driver. If the arrival time changes, ask the operator to confirm the new arrangement rather than assuming the car can wait indefinitely in a restricted area.
Set the return arrangement at the same time as the pickup. Note the agreed location, inspection process and what happens if the final meeting runs late. Keep enough room for belongings to be removed and the cabin checked. A well-defined return protects the next appointment and avoids turning a short rental into an open-ended coordination problem.
