What changes the plan
Collect the exact building entrance, floor, reception contact and parking process for every appointment. Separate the public street address from the vehicle access point. Ask whether visitor registration or a security check happens before the meeting. Keep this information in one concise itinerary that a passenger can read without searching several message threads.
Place the fixed appointments first, then add flexible errands only where they fit geographically. Include time to park, walk, check in and return to the car. Use a live estimate near departure, but do not treat its exact minute as a promise. If a meeting overruns, remove a flexible stop and notify the next contact instead of compressing every buffer.
Decide explicitly who is driving. A person responsible for calls, documents or hosting a guest may not be able to do that work while driving. If a chauffeured service is needed, request its own written scope and wait-time terms; do not assume a self-drive vehicle includes a driver. Keep sensitive meeting notes and personal information out of publicly shared route links.
